Privacy policy

Last updated September 2026.

This policy is issued by AI Best Chat Corporation (“AI BestChat”, “we”). It covers two different groups of people, and the difference matters throughout. Customers are the brokerages and businesses who license AI BestChat. Visitors are the people who talk to an assistant embedded on a customer’s website, or who text or call a customer’s number. For visitor data, the customer is the organisation deciding why the data is collected, and we act on their instructions.

What we collect from customers

  • Account details: name, work email, company, and the password hash for your login.
  • Content you upload or connect: listings, documents, notes and web pages the assistant answers from.
  • Usage records: token counts, message and voice volumes, and the resulting cost estimates.
  • Billing details, held by our payment processor. We never see or store your full card number.

What is collected from visitors

  • What they type or say to the assistant, and the answers it gives.
  • Contact details they choose to give (name, email, phone) when they ask to be contacted or book.
  • For text and voice channels, the phone number the message came from.
  • Basic technical data needed to serve and secure the conversation.

This information belongs to the customer whose assistant was being used. We process it to run the service and do not sell it, rent it, or use it to advertise to anyone.

Training

We do not use customer content or visitor conversations to train general-purpose AI models, and our AI providers are engaged on terms that do not permit them to either. Your content is used to answer your questions and no one else’s.

Who else processes it

Running the service means passing some data to service providers, each for a single purpose:

  • AI providers: the text of a question and the relevant excerpts of your own content, to compose an answer.
  • Twilio: message and call delivery, where you have enabled SMS, WhatsApp or voice.
  • Stripe: subscription payments.
  • Cloud hosting and email delivery: to run the application and send notifications.

Some of these providers operate outside Canada, which means data may be processed in other countries and be subject to their laws.

Text messages and WhatsApp

Some of our customers switch on text messaging, WhatsApp or voice so that a conversation you begin with an assistant on their website can carry on somewhere you already read your messages.

You start it. We add nobody to a messaging programme on their behalf. You are messaged only because you text one of these numbers yourself, or because you left your phone number in a form and ticked the box beside it agreeing to be texted about your enquiry. We do not buy, rent or import lists of numbers.

Message frequency varies with the conversation. Message and data rates may apply. Reply STOP to any message to stop them, or HELP for help. Opting out is honoured by the carrier network itself, so it takes effect whether or not the assistant understood the word.

Mobile information, meaning your phone number and your consent to be messaged, is never shared with third parties or affiliates for their own marketing or promotional purposes, and is never sold. It is passed only to the messaging carrier that delivers the message to you, and to the customer whose assistant you were talking to, who is the business you contacted.

How long it is kept

Conversations, leads and the content you connect are kept while your account is active, so that your team can work them and so an answer can be explained after the fact. Usage and billing records are kept as long as we are required to keep financial records. Delete your content and its search index entries go with it. Close your account and we delete or anonymise what we are not required to retain.

Where we log the network address of someone who submits our contact form, we store a one-way hash of it rather than the address itself.

Your rights

Under Canadian privacy law you may ask what personal information we hold about you, ask us to correct it, and ask for it to be deleted. If you spoke to an assistant on a brokerage’s website, that brokerage controls the record, so ask them first, and we will help them respond.

Security

Access is limited to the people who need it, credentials are encrypted at rest, and each customer’s content is isolated from every other customer’s. No system is perfect; if a breach affects you, we will tell you and the regulator as the law requires.

Listings data

Where an assistant answers from an MLS or board feed, that data stays subject to the board’s own rules, including any field a seller has asked to be withheld. We honour those opt-outs at the point the data is ingested, so suppressed fields never reach an answer on any channel.
